Booking a caterer is a big decision, and it’s easy to focus only on the menu. But the questions you ask before signing a contract can save you from surprises later, whether that’s a scheduling conflict, a hidden fee, or a menu that doesn’t actually fit your venue. Here’s a checklist of what to ask before you commit.
How many events like mine have you catered?
A caterer who regularly handles corporate luncheons may approach things differently than one who specializes in weddings. Ask about experience with your event type and guest count specifically.
Can you provide references or reviews from similar events? Past clients can tell you a lot about consistency, communication, and how a caterer handles the unexpected.
Can the menu be customized, or are we choosing from set packages? Some caterers offer flexible, build your own menus. Others work from a fixed set of packages. Neither is wrong, but you should know which one you’re getting.
How do you handle dietary restrictions and allergies? This should be a clear, confident answer, not an afterthought. Ask how substitutions are handled and whether cross contact is a concern for severe allergies.
Is a tasting included, and when does it happen? Tastings help confirm flavor and portion expectations before the big day. Ask if it’s included in your package or offered as an add on.
What’s included in the price: staff, rentals, setup, and cleanup? Quotes can vary widely depending on what’s bundled in. Get clarity on staffing levels, linens, tableware, and whether delivery and cleanup are part of the cost.
What happens if my guest count changes? Ask about deadlines for final headcounts and how price adjusts up or down.
Do you carry liability insurance? Many venues require proof of insurance from vendors. Confirm this early so it doesn’t become a last minute scramble.
Who will be on site managing the event? You want a clear point of contact the day of, not just the person you negotiated the contract with.
How do you handle timeline changes on the day of the event? Events rarely run exactly on schedule. Ask how the team adapts if things run early or late.
What’s your plan for weather issues if the event is outdoors? If any part of your event is outside, this is a must ask question.
What’s your cancellation and postponement policy? Life happens. Know what your options and costs look like if plans change.
When is final payment due, and what forms of payment do you accept? Get this in writing so there’s no ambiguity as the event date approaches.
A good caterer should welcome these questions, not shy away from them. Clear answers up front are one of the best signs you’re working with a team that will deliver on event day.
